Team – Effective Immediately

Due to the fact that the Transit System will only have a one week vacation shutdown (7/1/18 through 7/7/18), and the fact that Skilled Trades employees are not going to be scheduled vacation for the July shutdown, the following processes have been established for entry of vacation requests for these employees. Not following this process will result in your request not being processed on time, which will effect employees regular and OT pay. Vacation entry requestors are responsible for submitting any past period adjustments (ADJs) related to your late or incorrect requests.

Transit Non-Skilled Employees:

Transit non-skilled employees will still follow the Calendar Day Off request process and requires a submission of a completed/approved Calendar Day Off Request Form. Requests for vacation must be approved by the Process Coach and each request must be signed by each party. Each signed request must be submitted by the Process Coach to Labor Relations at the following email address: KCVACARE@FORD.COM

Requests submitted to any other email will not be processed!

Labor Relations will enter the approved requests in TWOS after receipt and verification of available hours. (Will not be reduced below 40 hours)

Best Practice: To ensure you are submitting valid requests, each Process Coach should verify available hours (H308) BEFORE approving and submitting the request. If you approve a request and the employee does not have the hours available for use, you have effectively approved an unpaid day off.

• No request will be processed that reduces an employee’s vacation allotment lower than 40 hours, since these hours are required for the shutdown week
• This only affects December eligible employees as June hours are not input until around the second week of June
• Requests not submitted correctly will result in your request not being processed on time, which will effect employees regular and OT pay
• Labor Relations will not process requests that are not signed by all parties. (Walk-in submissions are welcome if all required signatures are on the form)
• Labor Relations will not process requests submitted by employees who state “The Process Coach did not approve my request within two scheduled work days”

Skilled Trades Employees:

Skilled Trades employees will need their Process Coach / ME Manager to approve their vacation requests by submitting requests/approvals as outlined below:

Labor Relations will enter the approved requests in TWOS after receipt and verification of available hours.

Truck Employees will have a two week vacation shutdown and are not affected by this posting.
